We are currently seeking a dedicated, professional, and friendly Front Desk Administrative Staff member to join our team. This role is a key part of the client experience, helping to create a welcoming atmosphere and supporting the smooth day-to-day operation of our office.
Position Overview
As the first point of contact for our clients and visitors, you will play an important role in maintaining an organized and supportive front office environment. You will provide excellent customer service, manage scheduling, handle billing inquiries, and assist with various administrative tasks that support our clinicians and clients.
Key Responsibiities
- Greet clients and visitors with a warm, professional, and welcoming demeanor
Manage appointment scheduling (booking, rescheduling, cancellations) - Provide administrative support to clinicians and office leadership
- Answer phone calls and respond to inquiries about SLC’s services
- Maintain accurate and confidential client records in compliance with HIPAA standards
- Process client payments and manage billing inquiries
- Scan testing files and other documents into our Electronic Health Record (EHR) system
- Assist with insurance verification, benefit checks, and claims processing
- Perform general office tasks: filing, faxing, correspondence management
- Conduct bank deposits and maintain related financial records
- Coordinate with clinical staff to ensure smooth and efficient office operations
- Perform light office cleaning to maintain a tidy and welcoming environment in the front desk area, waiting room, and common spaces
Qualifications
- High school diploma or equivalent (additional education in office administration or related field a plus)
- Previous experience in a front desk or administrative role—experience in a healthcare or mental health setting preferred
- Outstanding interpersonal and communication skills
- Excellent organizational skills and keen attention to detail
- Ability to handle confidential and sensitive information with discretion and professionalism
- Proficiency in Microsoft Office Suite and familiarity with Electronic Health Records (EHR) systems preferred
- Ability to multitask and thrive in a fast-paced environment
- Compassionate, empathetic attitude toward clients and their families
